Staff Attendance Policy
Official attendance, leave and salary-deduction policy • Applies to all teaching and non-teaching staff, every campus

This policy governs attendance, leave, and related salary deductions for all teaching and non-teaching staff of Islamabad Public School & College across every campus. It forms part of the contract of employment.

Regular and punctual attendance is a professional obligation and directly affects the quality of education delivered to students. This policy exists so that every staff member knows, in advance, exactly how attendance is recorded, how leave is earned and used, and how deductions are calculated — no hidden rules, no surprises on the payslip.

KEY DEFINITIONS & REQUIREMENTS
Presence Requirement Every staff member is required to be present on all working days of the session. Presence on each working day is a fundamental condition of employment; absence is permissible only under the leave provisions of this policy or emergency circumstances with proper methods.
School Start Time Throughout this policy, "school start time" means the scheduled start time of the morning assembly — not the start of the first teaching period. Staff must check in by assembly start time to be marked present and on time.
Academic Session The school session runs from 1st April to 31st March each year. Where this document is silent, the decision of the school management is final.
1Attendance Recording
1.1Attendance is recorded through the Geofence GPS self check-in feature of the IPSC Teacher App. Every staff member must check in on arrival and check out on departure.
1.2Check-in window: staff may punch in starting as early as 30 minutes before school start time and up to 30 minutes after school end time. Punches outside this window are not accepted.
1.3Automatic absent marking: a staff member who has made no attendance punch of any kind is automatically marked absent 30 minutes after school end time. Staff with an approved leave are marked on leave instead of absent.
1.4A staff member who checked in but did not check out retains the check-in record — they are not marked absent, but are liable for the missed check-out fine below.
1.5Missing a punch is a violation. A staff member who fails to check in or check out is liable to a fine of Rs. 50 per violation.
1.6Repeated or deliberate misuse of the attendance system may result in further disciplinary action.
2Late Arrival
2.1A staff member is recorded as late when their check-in occurs more than one (1) minute after the scheduled school start time (i.e., after the assembly start time).
2.2Up to 2 late arrivals per calendar month are allowed without deduction, provided they are for genuine reasons.
2.3Every late arrival after the first two in the same month is subject to a deduction of 25% of a single day's salary.
2.4Late counters reset at the start of each calendar month.
3Half Days
3.1A half day is counted when a staff member avails leave for either the first half of the working day (from assembly time to the scheduled break) or the second half of the working day (from the end of the break to the close of the day).
3.2Leaving early or attending only part of the working day is likewise recorded as a half day.
3.3Every 2 half days are subject to a deduction of 1 day's salary.
3.4Half Privilege Leave: a staff member may avail half (0.5) PL to cover a half-day absence.
4Privilege Leave (PL)
4.1Ten (10) Privilege Leaves are allotted to each staff member per session (April–March).
4.2A maximum of 1 PL may be applied per month.
4.3PL cannot be availed in the months of August and December.
4.4A maximum of 3 accumulated PLs may be availed together at one time.
4.5PL may also be availed in half-day units (see Section 3).
4.6
Encashment of Unused Privilege Leave
At the end of the session (March), every PL that was allotted but not consumed is rewarded as a salary bonus.
Salary Bonus = Accumulated (unused) PLs × 1.5 days' salary
Example: 10 unused PLs at session end = 10 × 1.5 = 15 days' salary bonus.
5Absence Around Holidays
5.1Absence may not be combined with a holiday. Being absent immediately before or after a holiday — on either side — is strictly not permitted.
5.2If a staff member is nonetheless absent immediately before or after a holiday (or a run of consecutive holidays) without an approved PL, salary will be deducted for 2 days.
5.3If the same absence is covered by an approved PL, salary will be deducted for 1 day.
6Casual Leave (CL)
6.1Casual leave is subject to salary deduction — days taken as CL reduce payable days accordingly.
6.2Casual leave may be applied for a maximum of 3 consecutive days at one time.
6.3Casual leave is intended for occasional, genuine emergency needs only and must not become habitual. Management reserves the right to decline casual leave where a pattern of habitual use is observed.
7Summer Vacation (New Joiners)
7.1A staff member who joins on or after 1st August is not entitled to salary for the summer vacation holidays unless they have completed a whole session of service.
8Maternity Leave
8.1Maternity leave may be granted for a maximum of 45 days and is without pay.
9Uninformed Absence — Termination
9.1Uninformed absence of 3 or more days gives the school the right to terminate the staff member.
9.2"Uninformed" means the staff member has (a) not applied for leave through the proper channel and (b) made no intimation call to the school management.
